Weigand Construction traces its roots back to 1906 when stonesman Henry Weigand began installing and repairing many of Fort Wayne’s brick sidewalks. Four generations later, Larry Weigand has led the company to annual revenues of more than $300 million and positioned it as one of the premier builders in the Midwest by expanding operations in Ohio and Michigan. With an average of 400 skilled workers, Weigand Construction (WCI) has completed projects from simple renovations to state-of-the-art, nationally recognized facilities and is regarded as a specialist in healthcare and wellness, education, industrial and commercial work.
Job Responsibilities
General Snapshot:
· Provide administrative support including accounting, secretarial, project documentation, and contract administration.
· Report to the Director of Ohio Operations and assist Business Development.
· Interact internally with various departments and externally with project stakeholders.
Clerical Activities:
· Manage incoming calls, greet visitors, and handle mail and packages.
· Provide switchboard relief, maintain office machines, and manage supplies.
· Offer general administrative support, including copying and scanning.
· Update vendor information, prepare documents, and compile executive reports.
Contract Administration:
· Issue Letters of Intent to Vendors as directed by Project Managers.
· Prepare and process contracts, subcontracts, purchase orders, and change orders according to PM guidance.
· Maintain contract logs, adding new contracts and following up on overdue paperwork.
Project Control:
· Log and transmit RFIs, PRs, PCOs, and ASIs, tracking responses and costs.
· Print Procore reports, maintain current documents, and review submittal info.
· Manage budget updates, cost codes, and Change Requests in Procore.
· Enter commitments, perform clerical tasks, and occasionally estimate job costs.
· Solicit bidders, process owner contracts, and scan bid documents electronically.
Workload and Office Management:
· Organize workload, build stakeholder relationships, and engage in ongoing education.
· Conduct quarterly performance reviews and aid in office design and maintenance scheduling.
· Undertake limited business travel, including corporate meetings and local project visits.
· Identify and engage with community events/organizations, establish rapport with economic development officers, and manage community organization memberships to promote Weigand brand.
Qualifications
· High school diploma or equivalent with two years of accounting training and two years of business school or equivalent.
· Five years combined experience in accounting/job cost environment and office administration.
· Familiarity with fundamental accounting principles.
· Proficiency in Windows environment, Microsoft Word, and Excel.
· Ability in electronic document production, filing, and operating office equipment.
· Strong oral, written, and telephone communication skills with high level of interpersonal and administrative skills, adept at multitasking under pressure.
