Job Classification: Assistant Treasurer/Administrative Assistant
(6 hours per day/260 days per year)

Qualifications:
- Associate’s degree or equivalent experience required.
- Experience with Redesign Uniform School Accounting System (USAS/USPS) and SCView software.
- Experience with all facets of Employee Benefits
- Proficient in using Microsoft Office and Google software.
- Excellent problem solving and analytical thinking skills.
- Excellent attention to detail with a high level of accuracy.
- Excellent customer service attitude skills.
- Excellent written and verbal communication skills.
- Excellent organizational skills.
- Works cooperatively with others and is a team player.
- Such alternatives to the above qualifications as the Treasurer and BOE may find appropriate and acceptable.
- Successfully complete and pass a BCII and FBI check.
- Ability to maintain strict confidentiality and protect sensitive information from unauthorized use.
Responsibilities:
- Assists Treasurer in coordinating the responsibilities of the fiscal department to facilitate an efficient operation of the department.
- Prepares, records and distributes all account receivable items.
- Maintains general accounting and control over student activity accounts.
- Works in cooperation with various departments to invoice for rental events, transportation and other services.
- Audits and prepares hourly employees’ time sheets and attendance records and enters them into the payroll accounting software.
- Assists in the administration of employee benefit programs.
- Processes payments for all district purchases.
- Processes Motor Fuel Tax Refund
- Maintains District-wide Fixed Assets for new purchases, disposals, and transfers.
- Maintains and process district vendor files.
- Administers elements of SCView software, and provides training and assistance to district staff.
- Administers District Records Retention
- Maintains employee payroll files.
- Assists Human Resources to ensure complete and accurate employee information as approved by BOE.
- Assists employees with benefit programs, including enrollment, qualifying events, and annual open enrollment.
- Processes annual salary notices
- Maintains district-wide background checks
- Maintains excel files for utility details, mileage, diesel, etc.
- Sends/monitors NSF check letters and reimbursements.
- Facilitates and plans yearly new employee orientation and transportation meetings.
Other Departmental:
- Attends workshops and in-service meetings to enhance and improve professional skills.
- Develops and updates fiscal department policies and procedures manuals.
- Supports and cross-trains within fiscal department area of responsibilities.
- Works collaboratively with all buildings and departments.
- Maintains fiscal records in accordance with standards set by the Auditor of State and as established in BOE Policy.
- Performs other duties and assume responsibilities as assigned by the Treasurer.
